What a CRM really costs a 10-person sales team in 2026

Seat price is only the first line. Here is the full year-one math for a ten-seller team, including the fees and the hours.

When teams ask us for a price, they usually mean the seat price. The number that matters is what the CRM costs in the first year, all in. Here is how we would add it up for a ten-person team, using public list prices as they stood on September 26, 2026.

1. Seats × months

Per-seat CRMs quote a monthly price per user, usually lower if you pay for the year up front. Ten sellers on a plan that costs $41 per seat a month billed annually is 10 × $41 × 12 = $4,920. The same plan billed monthly at $52 is $6,240. The gap between annual and monthly billing across the big CRMs runs from about 10% to more than 40%, so check both columns.

2. Required fees

Some plans carry a one-time onboarding fee you cannot opt out of. HubSpot lists a required $1,500 onboarding fee for Sales Hub Professional and $3,500 for Enterprise on its pricing page. Pipedrive and Pellwood don’t charge onboarding fees. For a ten-seat team, a $1,500 fee adds about $12.50 per seat per month to year one.

3. Add-ons you will actually turn on

Look at what your team needs in month three, not on day one. Web forms, document signing, enrichment and call recording are often separate line items. Price the ones you would use and leave the rest.

4. Admin time

The quiet cost is the person who keeps the CRM working. A system that needs a dedicated admin at 10 seats is far more expensive than its seat price. Ask every vendor how a team your size usually staffs it.

5. The switching cost you are avoiding

If you are already on a CRM, the cheapest option is often to stay, at least for this year. The real question is whether your next renewal price, your contract terms and the product’s direction still fit. Teams usually switch when a renewal lands at a higher price for the same seats.
